Limitations of Custom Manufactured Uniforms
Because we produce made-to-order uniforms for specific industries (Healthcare, Corporate, School, Security, etc.) decorated with your exclusive corporate logos, colors, and precise sizing matrices, we are unable to accept standard general returns.

Time Frame for Manufacturing Defects
We stand behind the quality of our craftsmanship. While we do not accept "buyer's remorse" returns, if your apparel has a clear manufacturing, fabric, or stitching defect, you must report it within 7 business days of receiving your bulk shipment. Refund, replacement, or rework requests submitted after this timeframe will not be considered.

To review your claim, our quality assurance department requires clear photos and/or video documentation of the defects. Upon approval of the defect claim, you will be offered a refund for the defective units or an expedited factory replacement.


Exchange & Sizing Policy

Because apparel is specifically branded, stitched, and patterned for your organization, we do not accept traditional size exchanges (e.g., swapping a Medium for a Large) after the final goods are delivered. Clients are entirely responsible for utilizing our sizing guides and samples provided prior to bulk production to establish an accurate size breakdown.


Return Shipment Costs

Who Bears the Cost?
Since we generally do not accept standard returns on custom wear, return costs are generally void. However, in the rare instance that a factory recall or defect requires garments to be returned for factory re-stitching/repair, StitchMark Uniform will arrange and cover the shipping logistics.

StitchMark Uniform does not offer financial settlements or replacements for garments presenting minor discrepancies falling within acceptable industry tolerances. This includes up to a 5% standard variance in measurement specifications (e.g., half an inch difference on a sleeve) or slight color hue shifts common to large-scale fabric dye lots.


Cancellations and Factory Lead-Time Charges

Upon paying an invoice or making a confirmed deposit for a production run, StitchMark Uniform initiates the procurement of fabrics and schedules factory cutting time. A grace period of 48 hours is allowed for standard bulk order cancellations, provided bulk raw materials haven't been permanently cut or custom dyed.

  • Orders canceled after raw fabric cutting has begun are non-refundable.
  • Rush orders, custom dye-to-match fabrications, or fully bespoke patterned uniforms (Martial Arts, specialized industrial workwear) cannot be canceled once signed off, as the materials hold no value for alternative clients.
  • Approved cancellations that bypass the 48-hour window may incur up to a 20-50% raw-materials fee depending on processing status.

Refund Processing & Global Operations

Processing Framework:

  • Defect claims are technically assessed by our factory compliance team within 5-7 business days of submitting media evidence.
  • Claims surrounding global freight loss or commercial transit damages may take up to 30 days pending standard insurance claim approvals via the corresponding cargo or shipping partner (FedEx, DHL, Sea Freight, etc.).
  • Minor print, patch, or thread mismatches may be settled by issuing a proportional credit rather than remaking the entire bulk container.

When a financial refund is successfully approved, please allow 5-7 business days for the funds to reflect back onto your original payment mechanism or bank wire portal.


Apparel Decoration and File Requirements

Embroidery, dye-sublimation, and screen printing results heavily rely on your submitted Tech Packs and corporate art. To guarantee the absolute highest manufacturing standards:

Supported Artwork Formats:

  • High-resolution Vector files (.AI, .EPS, .PDF)
  • Exact PMS Pantone codes submitted in writing
  • Flattened paths for logo cutouts

Non-Supported Outcomes:

We are not responsible for unreadable small lettering on embroidered crests, blurred heat-press logos stemming from rasterized JPEGs, or color deviations on garments if a low-resolution file was approved. Garments printed to exact, client-submitted specs will not be eligible for remakes if the base artwork itself was flawed.


Mockups and Digital/Physical Pre-production

Before high-volume uniform manufacturing, our technical department submits digital layouts/tech packs for brand placement, sizing tags, and fabric details. Client delays in approving these digital proofs directly delay bulk production times. Physical pre-production samples (PPS) are provided on large-scale enterprise contracts upon payment of the requisite sampling fee, mitigating virtually all potential discrepancies prior to the final mass-cut.


Production Time Requirements

Because StitchMark Uniform scales internationally across East and West sectors, turnaround expectations reflect authentic cut-and-sew timelines rather than off-the-shelf ready-made delivery:

Estimated Production Timelines (Bulk Cut & Sew):

  • Standard Corporate/Hospitality Polos & Tees: 2-4 Weeks
  • Detailed Technical Garments (Fire retardant/Industrial Workwear, Multi-layer Winter Jackets): 4-8 Weeks
  • Custom Lab Coats/Scrubs or Uniform Trousers: 3-5 Weeks

Manufacturing timelines solely refer to floor assembly and do not include sea/air freight transit windows to the West or neighboring regional hubs. Exact logistical arrivals must factor in custom borders processing and domestic final mile trucking.


Freight Delivery Limitations

International container loss or individual box theft at a commercial delivery destination is strictly monitored. We require customers to utilize corporate addresses over unmonitored drop locations. If a courier notes a delivery status as successfully discharged at the provided coordinate address, any loss strictly becomes an administrative issue pursued between the buyer and the final mile freight carrier. StitchMark cannot inherently provide refund compensation for securely shipped cargo that becomes lost directly under courier command.


Client Submission Errors

Double-checking specific elements ensures accuracy. StitchMark Uniform is wholly absolved of responsibility surrounding typographic name errors (e.g., misspelled employee name badges), inverse color choices specified on a form, wrongly approved logo variations (like older branding used accidentally), or improper sizes recorded onto a Master order spreadsheet by a company's internal staff coordinator.


Overage & Yield Allowance (Industry Tolerance)

In major textile fabrication facilities (runs exceeding 1,000+ pieces), it is physically common to experience a yield variable up to ±3%–5% upon sorting first-rate garments. Should an order be subject to a minor shortage directly attributable to failing quality control lines mid-production, the affected missing units will immediately be credited. Excess overflow product passed via overage can also occur; major clients generally absorb slight ± excess units standard across global manufacturing.


B2B Subscriptions & Multi-Year Contracts

Public entities (School Trusts, Police Divisions, Airline Networks, Global Hotel Chains) bound beneath long-term supply subscription accounts may feature specially subsidized pricing schemas subject to guaranteed ordering volumes over successive periods. Contract breaches negating phase withdrawals—prior to when factory fibers have actively been spun or fabrics locked securely at port hubs—will incur extensive contract settlement tariffs or restocking liquidation penalties.


Code of Mutual Courtesy

We thrive to offer exemplary custom garments globally while functioning securely beneath the parameters of professional integrity. Abusive actions against staff representatives or coercive expectations placed irresponsibly out of standard commercial manufacturing practices will result in formal contract forfeiture without additional settlement refunds, restricting future manufacturing privileges respectively.
